Invoice what was taught, while it is fresh

Late payment usually starts as late invoicing: the month slides by, the total is reconstructed from memory, and the invoice arrives when the parent has already mentally spent the money. Mark the register as you go and raise the invoice from what the ledger already says is owed — not from what the timetable said would happen, which includes the lesson that didn't. An invoice that matches the parent's memory of the month gets paid; one that doesn't starts a negotiation.

Know the number before they ask

The chase continues because the teacher is never quite sure either. Every charge, payment, credit and refund is one entry in the family's ledger — siblings on one balance — and the figure on screen is added up from those entries each time you look. "You owe £X" said with certainty, in the second week rather than the sixth, ends most arrears before they need a name.
