Music lesson cancellation policy template.

Copy it, fill in the bracketed blanks, hand it to every family before the term starts. A policy only works if the parent has seen it before the cancellation — afterwards it is just a bill with an explanation attached.

The policy

Effective [term / date]. By booking lessons with [Studio Name], families agree to the following.

1. Notice periods

Cancellations made more than [24] hours before the lesson earn a make-up credit. Cancellations inside [24] hours, including morning-of messages, are charged at the full lesson fee with no make-up credit. Lessons missed without any message (no-shows) are charged at the full fee with no make-up credit.

2. Make-up credits

A make-up credit is a future lesson of the same length, booked at a mutually agreed time within [half a term / 6 weeks] of the missed lesson. Credits expire after that window and cannot be exchanged for refunds or transferred to another student. A maximum of [2] unused credits may be held at once.

3. Illness and emergencies

Genuine emergencies are handled with discretion and may be marked differently from an ordinary late cancellation — ask, don't assume. Repeated last-minute illness cancellations (more than [2] in a term) fall back under the standard notice rule.

4. When the teacher cancels

Lessons I cancel are always made good: a make-up lesson at your convenience or a credit against the next invoice, your choice.

5. How to cancel

Message [your number / email] directly — not via your child, and not on social media. The timestamp of your message decides which rule applies.

Using this with Lesson Lineup

Each numbered clause above maps to an attendance status: the status carries its own billable answer and issues (or doesn't issue) a make-up credit, so marking the register enforces the policy instead of re-arguing it.
